Beacon Basingstoke Roofing

Privacy policy

How Beacon Basingstoke Roofing collects, uses and looks after the personal information you give us when you ask about a roof, and the rights you have over it.

Who we are

Beacon Basingstoke Roofing is the controller of the personal information described here. We are a service-area business: we work at our customers' properties and have no public premises. You can reach us about anything in this policy by email at info@beaconbasingstokeroofing.co.uk or by phone on 01256 213956.

We handle personal information under UK data protection law, which means the UK General Data Protection Regulation as it applies in the UK and the Data Protection Act 2018.

What we collect and where it comes from

  • The survey form. When you fill in the form on this website, we receive your name, phone number, email address, the address of the property, and whatever you tell us about the roof. The form is provided and hosted by a third-party form provider, which processes that information on our behalf and passes it to us.
  • WhatsApp. If you choose to message us on WhatsApp, we receive your phone number, your WhatsApp profile name and anything you send, including photographs. WhatsApp is run by Meta, which processes those messages under its own terms and privacy policy. Using WhatsApp is always optional; phone and email work just as well.
  • Phone and email. If you call or email, we keep a note of your details and what we discussed so we can follow up.
  • Survey and job records. If we visit, we take photographs of your roof and keep notes, quotes, invoices and guarantee records for the work.

We do not ask for, and ask you not to send, sensitive information such as health details. If something like that is relevant to how we work at your home, such as a vulnerable person in the house, we keep only what we need and only for as long as the job lasts.

How we use it and our lawful basis

  • Answering your enquiry, arranging a survey and preparing a quote. This is a step you have asked us to take before entering a contract, and it is also in our legitimate interests to respond to people who contact us.
  • Carrying out the work, invoicing and providing the guarantee. This is necessary to perform our contract with you.
  • Keeping financial and tax records. This is necessary to meet our legal obligations.
  • Dealing with complaints, guarantee claims and legal claims. This is in our legitimate interests in protecting the business and putting things right.

We do not sell your information, and we do not use it for marketing unless you have agreed to that separately. You can withdraw any consent you have given at any time.

Who we share it with

We share personal information only where we need to: with the form provider and the email and messaging services we use to run the business, with our accountant, with building control where work is notifiable, with suppliers where they deliver to your property, and with anyone the law requires us to share it with. Some of these services may store data outside the UK. Where they do, we rely on the safeguards UK law allows, such as adequacy regulations or standard contractual clauses.

How long we keep it

  • Enquiries that do not lead to work: up to 12 months, then deleted.
  • Quotes, job records and photographs for work we carried out: for the length of the guarantee and up to a year after it ends, so we can deal with any claim.
  • Invoices and financial records: for as long as tax and company law requires, usually six years.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected if it is wrong, and to have it deleted where we no longer have a good reason to keep it. You can also ask us to restrict how we use it, object to us using it on the basis of legitimate interests, and ask for a copy in a portable format where the law allows. To use any of these rights, email or phone us. We will reply within one month, and we will not charge you unless a request is clearly excessive.

Keeping it secure

We keep records on password-protected devices and accounts, limit access to people who need it for the job, and delete what we no longer need. No system is perfectly secure, but if something goes wrong that puts your information at risk, we will tell you and, where the law requires it, the regulator.

Complaints to the regulator

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.

The way this website itself uses cookies and third-party resources is explained in our cookie policy.

This privacy policy is a starting point written in plain English. It has not yet been reviewed by a solicitor, and the owner of Beacon Basingstoke Roofing should have it checked against the business's own circumstances before relying on it. Last updated October 2026.
